Quick Answer
Export every conversation your AI support agent closed in the billing period, then remove any that reopened within 7 days or that a human finished. Match what is left to the vendor's billed units, counted in the vendor's own unit, by conversation ID. Send the vendor the unmatched IDs with its dated resolution definition and ask for a credit on each.
Match the vendor's billed units to your own help desk export, one conversation ID at a time.
How do I check my AI support agent bill is accurate?
Check it against your own help desk export: count the conversations the AI closed, remove reopens and human takeovers, then match what is left to the billed units by conversation ID.
The vendor's usage report is the vendor's view. Your help desk is yours. Across the 41 support tools we compare on 8 ranking pages, the billing unit and its definition are set by each vendor, so the audit starts from your records, not theirs.
What you need
- One invoice and the vendor's usage report for the same billing period
- Your contract or the vendor's pricing page, open on the section that defines the billing unit
- A help desk export of every AI-handled conversation for the same dates, with conversation ID, close date, reopen date and assignee
- A spreadsheet
Steps
- Copy the billing unit and its definition word for word into your spreadsheet, with the date you checked it. We copy every published price from the vendor's own pricing page with the date it was checked, and we check security certifications on each vendor's trust page the same way, because vendor pages change without notice. Our editorial and disclosure policy explains how those checks are done.
- Ask the vendor for a line-item report that lists a conversation ID for every billed unit.
- Export every conversation the AI support agent closed in that billing period from your help desk.
- Remove conversations that reopened within 7 days, including ones where the same customer wrote back about the same issue.
- Remove conversations a human agent took over or finished. A handoff is not an AI resolution, whatever the closing status says.
- Subtract the free units your plan includes. Zendesk, for example, includes 5 automated resolutions a month per agent before it bills, while Freshdesk gives 500 AI agent sessions once per account, not each month.
- Match your list to the vendor's report by conversation ID and mark every billed ID that is missing from your list.
- Send the vendor a written dispute with the dated definition, both totals and the marked IDs, and ask for a credit on each one.
Treat the 7-day reopen window as the floor, not the ceiling. If your contract names a longer window, use the contract's number. If it names none, use 7 days and say so in the dispute, so the vendor answers a stated standard rather than a feeling.
Common mistakes
- Converting units. Count in the unit printed on the invoice (resolution, outcome, session, interaction or conversation) and never convert one into another.
- Treating silence as success. Count a conversation only when it stayed closed, no human touched it, and any promised action, such as a refund, actually happened.
- Auditing without the definition in writing. Get the vendor to confirm its resolution definition by email before the next billing period starts.
If the same gap returns month after month, the billing unit itself may not suit how your team works, and our ranking of help desk software with live chat is the place to compare what else is on the market.
Frequently asked questions
What if my contract does not define a resolution?
Ask the vendor to confirm its billable resolution, the exact event it charges for, by email, then copy its published terms with the date you checked them. Vendor pages change between checks, which is why Zazachat's record of Gmelius terms, for example, carries the date it was checked: Oct 30, 2026. The public record does not show how often vendors grant credits on disputed charges, so keep every email.
Does this work when the vendor bills per session or per conversation?
Yes, with one step dropped. A conversation unit is often counted whether or not it was solved; Botpress, for example, counts AI-only and human-assisted conversations the same toward the plan. Skip the reopen step and match your total of AI-handled conversations to the billed units.
How often should I run this check?
Run it every billing period, before you pay. If the gap repeats two months in a row, book a free 15-minute call with Michael Kansky through Zazachat's matcher page to talk through whether the tool still fits your team.
