How do we pick help desk software?
Every tool is reviewed against the same seven published criteria by our editorial reviewer - not by vendors, and not by ad spend. A sponsored vendor is never placed at number one, and paid placements are labeled and kept separate from the ranking.
- Hands-on setupHow long it takes to connect a mailbox or install the widget and reach a first resolved conversation.
- Core support workflowRouting, assignment, macros, and SLAs under real ticket volume.
- Automation and AIHow much bots and AI replies resolve versus hand back to a person.
- IntegrationsDepth of the CRM, e-commerce, and channel integrations, and the setup each one needs.
- Reporting and analyticsResolution time, CSAT, and volume by channel without exporting to a spreadsheet.
- Pricing and valueThe real cost at a realistic seat count, usage charges, and what higher tiers gate.
- Support and documentationHow responsive the vendor is, and whether its docs and onboarding get a new team productive.
Read the full, named methodology on our How We Test page.
How to choose help desk software?
The right pick comes down to your channels, how much you need to automate, your existing integrations, and a live trial. Work through these four checks before you commit:
- Map your channels Decide where customers reach you - email, live chat, social, or in-app - and shortlist tools that cover them.
- Weigh automation Estimate how much volume an AI agent or macros could deflect before you pay per seat.
- Check the integrations Confirm the tool connects to your store, CRM, and billing without custom work.
- Trial with real tickets Run a week of live conversations before committing to an annual plan.
How much does help desk software cost?
Most help desks charge per agent per month, and paying annually saves between 15 and 35 percent. Entry plans run from about $7 to $29 per agent per month. Plans with routing rules and SLAs, which most growing teams need, mostly cost $45 to $100 per agent, with Zoho Desk well below that at $23. Help Scout, Zoho Desk, HubSpot and Jira Service Management also have free plans for 2 to 5 users. Two costs often push the bill past the seat price. AI agents are usually billed per resolved conversation, at about $0.75 to $1.00 each with Help Scout, Intercom and Gorgias. Some vendors also charge a one-time onboarding fee on higher tiers, such as HubSpot's $1,500 for Service Hub Professional. Gorgias is the main exception to per-seat pricing: it charges by monthly ticket volume instead. Prices checked on each vendor's pricing page in October 2026.
Where do I buy help desk software?
Each tool is bought directly from its vendor on a monthly or annual subscription. From any pick above, follow through to our full review for current plans, then start a trial or request a demo. Links marked as partners are paid placements and are labeled as such.
Frequently asked questions
How do we rank these tools?
Every tool is reviewed against the same seven criteria: setup, the core support workflow, automation and AI, integrations, reporting, pricing and value, and vendor support. Vendors cannot pay for a better position, and a sponsored vendor is never placed first. Paid placements appear only in the labeled Featured Partner box. Full details are on our How We Test page.
Is there a free help desk software option?
Yes. Help Scout has a free plan for up to 5 users, Zoho Desk is free for 3 users with email ticketing, Jira Service Management is free for 3 agents, and HubSpot Service Hub is free for 2 users. Free plans limit inboxes, knowledge base articles, automation and reporting, so they suit very small teams.
How long does it take to set up?
For a small team leaving a shared email inbox, setup is mostly connecting the inbox and inviting agents. Larger rollouts take longer because of routing rules, SLAs, integrations and data migration. HubSpot charges a one-time onboarding fee on Professional and Enterprise, while Zoho Desk offers free migration from another help desk.
Can I try a help desk before paying?
Yes. LiveAgent offers a 30-day trial with no card. Zoho Desk offers 15 days with no card, then moves you to its free plan, and Help Scout offers 15 days with no card on Standard and Plus. Intercom and Front offer 14 days with no card, and Freshdesk's 14-day trial opens its Enterprise plan.
How are AI agents billed in help desk software?
AI is often billed separately from seats. Help Scout charges $0.75 per AI Answers resolution and Intercom $0.99 per Fin outcome. Gorgias charges $0.90 per automated interaction on annual contracts, and each also counts as a ticket. Freshdesk includes 500 free AI agent sessions per account, then charges $49 per 100. HubSpot uses monthly credits that don't roll over.
Which plans include SLAs and automatic ticket routing?
Usually not on entry plans. Freshdesk adds intelligent routing and SLA policies on Pro, at $55 per agent billed annually. Zoho Desk adds round-robin assignment on Professional, and Help Scout adds round-robin routing on Plus. Intercom adds round-robin on Advanced but SLAs only on Expert. Hiver includes SLAs on Pro, at $55 per user billed annually.
Is it cheaper to pay annually?
Usually. Front says annual billing saves 24 percent, and Help Scout shows a 16 percent discount. Hiver Growth costs $25 per user billed annually versus $35 monthly, and Gorgias Basic costs $50 a month annually versus $60 monthly. LiveAgent lists savings of 17 to 21 percent. Some plans are sold only on annual terms.
Which help desk is best for ecommerce stores?
Gorgias is built for online stores. It integrates with Shopify, BigCommerce, Magento and WooCommerce, supports multiple stores, and connects apps such as Klaviyo, Yotpo and Recharge. It charges by monthly ticket volume rather than seats: Starter covers 50 tickets and Basic covers 300, with a per-ticket fee above the limit.
What is the difference between a help desk and a shared inbox?
A shared inbox lets a team work one email address together, with assignments and internal comments. A help desk adds ticket tracking, routing rules, SLAs, a knowledge base and reporting. Some tools do both: Front pairs a shared inbox with ticketing on every plan, and Hiver runs a help desk inside Gmail.
Can help desk software handle phone support?
Many can, usually at extra cost or on a higher plan. Zoho Desk includes telephony from Professional up. LiveAgent has a call center with IVR, but not on its cheapest plan. Gorgias sells Voice and SMS add-ons priced by volume, Intercom bills phone by usage, and Hiver offers voice as an add-on.
Which help desk is best for IT and internal support?
Jira Service Management is built for IT service management rather than customer email support. It handles incidents, changes and assets alongside tickets, and links to Jira for engineering escalations. It is free for up to 3 agents. Teams that only answer customer email will find Help Scout or Freshdesk simpler to set up.
